This Privacy Policy explains how Freeing Returns ("Freeing Returns," "we," "us," or "our") collects, uses, discloses, and safeguards personal information when you visit www.freeingreturns.com, register for or attend our LinkedIn events and webinars, submit a LinkedIn Lead Gen Form, request a demo or assessment, or otherwise interact with us.
1. Scope
This policy applies to personal information we process as a controller for our own marketing, sales, events, and business operations. When we process data on behalf of a customer within our loss-prevention platform, we act as a processor under that customer's instructions and the applicable services agreement and data processing addendum (DPA), and that customer's privacy notice governs.
2. Information We Collect
Information you provide
- Identity and contact details: name, business email, phone number, job title, company, and country.
- Event and registration data: sessions you register for or attend, attendance duration, questions asked, poll and survey responses, and chat messages.
- Commercial information: demo, assessment, and pricing requests, and the content of your communications with our team.
- Marketing preferences: subscription status, consent records, and opt-out requests.
Information collected automatically
- Device and usage data: IP address, browser type, operating system, referring URL, pages viewed, and timestamps.
- Cookie and similar-technology identifiers (see Section 7).
Information from third parties
- LinkedIn and other event or advertising platforms (see Section 3).
- Business-contact and firmographic data providers, and publicly available sources, used to validate and enrich business contact records.
We do not intentionally collect sensitive personal information (such as government identifiers, health, biometric, or precise geolocation data) through our marketing and event channels. Please do not submit it to us.
3. LinkedIn Events, Lead Gen Forms & Advertising
When you register for or attend a Freeing Returns event hosted on LinkedIn, LinkedIn shares registration information with us as the event organizer. Depending on the format and your settings, this may include your name, professional headline, job title, company, location, LinkedIn profile URL, and the email address associated with your LinkedIn account. If you submit a LinkedIn Lead Gen Form, the fields you confirm in that form are transferred to us.
We use this information to deliver the event, send confirmations, reminders, recordings, and related materials, and — where permitted by law or where you have opted in — to follow up with relevant content and offers. You may unsubscribe at any time using the link in any marketing email or by contacting us at privacy@freeingreturns.com.
LinkedIn processes your data as an independent controller under its own Privacy Policy. We may also use LinkedIn Insight Tag, matched audiences, and conversion tracking on our website where you have consented to advertising cookies; you can manage LinkedIn ad settings directly in your LinkedIn account.
4. How We Use Information
- Host, administer, and improve our events, webinars, and community programs.
- Respond to demo, assessment, support, and other inquiries.
- Send marketing communications, newsletters, and event invitations consistent with your preferences and applicable law.
- Operate, secure, and improve our website, products, and services.
- Perform analytics and measure the performance of our content and advertising campaigns.
- Detect, prevent, and investigate fraud, abuse, and security incidents, and comply with legal, regulatory, audit, and contractual obligations.
We do not sell personal information for money, and we do not use automated decision-making that produces legal or similarly significant effects about you.
5. Legal Bases for Processing (GDPR / UK GDPR)
- Consent — marketing emails where required, non-essential cookies, and optional event recordings.
- Contract — registering you for an event you requested and providing services you signed up for.
- Legitimate interests — B2B relationship development, website analytics, product improvement, and security, balanced against your rights.
- Legal obligation — tax, accounting, audit, and regulatory requirements.
6. How We Share Information
- Service providers / processors — hosting, CRM, marketing automation, event and webinar platforms, analytics, and support tooling, each bound by written contracts limiting use to our instructions.
- Platform partners — LinkedIn and similar platforms that operate as independent controllers for the data they collect.
- Professional advisors and auditors — including our SOC 2 auditors, under confidentiality obligations.
- Legal and safety — where required by law, subpoena, or to protect rights, safety, and property.
- Corporate transactions — in connection with a merger, acquisition, financing, or sale of assets, subject to this policy.
7. Cookies & Tracking Technologies
We use strictly necessary cookies to operate the site, plus analytics, functional, and advertising cookies where permitted. In regions that require consent, non-essential cookies are set only after you opt in through our cookie banner, and you can change your choices at any time via the banner's preference center. Most browsers also let you block or delete cookies. We honor Global Privacy Control (GPC) signals as opt-out requests where legally required.
8. Data Retention
We keep personal information only as long as necessary for the purposes described above: event and marketing records are generally retained for up to 24 months after your last interaction unless you opt out sooner; contractual and financial records are retained for the periods required by law. Suppression lists are kept indefinitely so we can honor opt-outs.
9. Security & SOC 2 Type II Certification
Freeing Returns is SOC 2 Type II certified, independently audited against the AICPA Trust Services Criteria for Security, and we maintain a formal information security program aligned to those controls. Safeguards include encryption of data in transit and at rest, role-based access control and least-privilege provisioning, multi-factor authentication, network and endpoint monitoring, logging and alerting, vendor risk reviews, secure software development practices, periodic penetration testing, employee security training, and a documented incident response plan.
Prospective and current customers may request our current SOC 2 Type II report under NDA by contacting security@freeingreturns.com. No method of transmission or storage is completely secure, but we work continuously to protect your information and will notify affected individuals and regulators of a qualifying breach as required by law.
10. International Data Transfers
We are headquartered in the United States and may transfer personal information there and to other countries where we or our service providers operate. For transfers from the EEA, UK, or Switzerland, we rely on the European Commission's Standard Contractual Clauses (and the UK Addendum), together with supplementary technical and organizational measures.
11. Your Privacy Rights
Depending on where you live, you may have the right to access, correct, delete, or receive a portable copy of your personal information; to object to or restrict certain processing; to withdraw consent at any time; and to lodge a complaint with your supervisory authority. To exercise a right, email privacy@freeingreturns.com. We will verify your request and respond within the timeframes required by applicable law (generally 30 days, extendable where permitted). We will not discriminate against you for exercising your rights.
12. U.S. State Privacy Rights
Residents of California, Colorado, Connecticut, Virginia, Texas, and other states with comprehensive privacy laws have the rights described above, plus the right to opt out of "sales," "sharing," and targeted advertising. Freeing Returns does not sell personal information for monetary consideration; however, our use of advertising cookies may be considered "sharing" or targeted advertising under some laws. You can opt out via our cookie preference center, a GPC signal, or by emailing privacy@freeingreturns.com. Authorized agents may submit requests with proof of authority.
13. Children's Privacy
Our website, events, and services are intended for business professionals and are not directed to children under 16. We do not knowingly collect personal information from children; if we learn we have, we will delete it.
14. Changes to This Policy
We may update this Privacy Policy from time to time. We will revise the "Last updated" date above and, for material changes, provide additional notice such as an email or a website banner.
